Hardware Lifecycle Management

The most expensive hardware purchase is an emergency replacement when something fails at the worst possible time. A documented refresh plan changes that from a crisis into a budget line item.

Most firms have no idea what hardware they actually have.

The average professional services firm has a mix of workstations purchased at different times, by different people, with different specs — and no centralized record. When one fails, someone drives to Best Buy. Windows 10 reached end-of-life in October 2025 — unpatched machines are already a security and compliance liability, and many firms are still running them without a plan.

We fix this on day one. Every managed client gets a complete, documented hardware inventory — make, model, purchase date, warranty status, OS version — and a refresh schedule built from that data. You never get surprised by end-of-life equipment again.

~40%

of SMB workstations in active use are past their recommended refresh age, according to industry hardware surveys. Most firms don't know which ones.

We manage hardware from purchase to secure disposal.

01 · Procurement
Sourcing & purchasing

We source business-grade hardware from trusted channels — Dell, Lenovo, HP commercial lines — configured to your spec. No consumer-grade equipment, no grey-market parts.

02 · Deployment
Imaging & configuration

Devices arrive pre-imaged with your standard build, security baseline, and applications. Unbox and go — no on-site configuration time billed to you.

03 · Active life
Monitoring & warranty

We track warranty status, SMART drive health, and hardware alerts. Warranty claims are handled by us — you never have to call a manufacturer.

04 · Refresh
Planned replacement

We notify you 6 months before a device hits refresh age. Replacements are ordered, staged, and deployed before the old device becomes a problem.

05 · Disposal
Secure decommission

Retired devices are securely wiped (DoD 5220.22-M or physical destruction) before leaving your control. Certificate of destruction available on request.

What a lifecycle plan looks like in practice.

Every client's schedule is built from their actual inventory data — not a generic template. The example below illustrates what a typical professional services firm with 20 endpoints might see. Your schedule will reflect your actual hardware, purchase dates, and role requirements.

Device type Recommended lifecycle Age status guide What we do at each stage
Business workstation (attorney/accountant desk) 4 years
0–2 yrs: Active, no action
2–3 yrs: Flagged, budget next cycle
3–3.5 yrs: Refresh notification sent
4+ yrs: Priority replacement
Year 3.5: refresh order placed. Replacement staged. Migration completed before old unit hits 4-year mark.
Server (on-premise file, domain controller) 5 years
0–3 yrs: Active, monitor
3–5 yrs: Budget replacement
5+ yrs: Urgent refresh or cloud migration
Year 4: replacement or cloud migration scoped. Year 5 cutover target with BCDR overlap period.
Network switch (managed) 5–7 years Monitored via RMM for hardware alerts and firmware support status. Replaced when out of vendor support or hardware failure risk elevated. Firmware kept current. Replacement coordinated with network refresh planning.
Firewall / security gateway 5 years or end of subscription Subscription renewal tracked. Hardware refresh tied to licensing cycle — we never let a firewall lapse on coverage. Renewal reminder at 90 days. Hardware replacement scoped annually for Year 4+.
Wi-Fi access points 4–5 years Performance-monitored via UniFi platform. Replaced when consistently failing performance thresholds or out of firmware support. Coordinated with network refresh. New APs staged before existing units are removed.
Laptop (hybrid / attorney-in-field) 3 years Higher usage and physical wear accelerates refresh cycle. Battery health and drive health monitored monthly. Year 3.5: refresh flagged. Year 4: replacement ordered and configured before transition.
UPS / battery backup 3–5 years (battery replacement: 2–3 years) Battery health tested annually. UPS runtime monitored under load. Battery replacement is lower cost than full unit replacement. Battery replacement coordinated proactively — not after a power event reveals a failed battery.
This is an example, not your schedule. Your actual lifecycle plan is built from your real inventory data during onboarding. Our standard recommendation is 4 years for workstations, 5 years for servers — published so you can plan budgets, not so we can hold you to a rigid schedule. Cycles are adjusted based on workload intensity, manufacturer end-of-support dates, and Windows version compatibility.

Procurement & sourcing

Business-grade hardware sourced from authorized channels. We handle the purchase order, shipping coordination, and delivery logistics. You approve the spec; we handle everything else.

Imaging & standard builds

Every new device is imaged to your standard build before delivery — Windows configuration, security baseline, approved applications, RMM agent, EDR enrollment. Your users unbox and work.

Warranty management

All warranty records tracked in your asset inventory. When hardware fails under warranty, we file the claim, coordinate the repair or replacement, and manage the logistics. You never call a manufacturer.

Secure decommission

Retired devices are securely wiped using certified data destruction methods before leaving your environment. Certificate of destruction provided on request. No sensitive data leaves your firm on old hardware.

Hardware procurement and lifecycle management is included at no additional monthly cost for all managed IT clients. We earn a margin on hardware we source — which is how we keep this service included rather than billing it separately.

For organizations not on a managed plan, we offer hardware procurement and lifecycle consulting as a project engagement. Contact us for a quote →

The only thing you pay for is the hardware itself — at the price we source it, with our margin disclosed on request.

Multi-site and multi-office firms

For firms with multiple offices, we maintain a unified inventory across all locations — with site-level views so your office manager in each location can see their own hardware status. Replacements are shipped pre-imaged to each site, not to headquarters to be manually transferred. This is the difference between a lifecycle plan that works at 3 offices and one that only works when everything is in the same room.
